JOB TITLE: Convention Travel Coordinator

EMPLOYER: National Honorary Beta Club

DEPARTMENT: Convention Department

REPORTS TO: Director of Convention and Leadership

LOCATION: National Beta Club Office – 151 Beta Club Way | Spartanburg, SC 29306

EFFECTIVE DATE: 7/1/2024- This position is a 10-month position.

SUMMARY: Performs Administrative, Customer Service, and Logistical support for the Convention/Leadership Department while traveling to various conventions and leadership summits.

DUTIES AND RESPONSIBILITIES:

  • Create and assemble all necessary items needed for conventions and leadership summits in the hub room and registration area with little to no supervision.
  • Provide Administrative/Clerical assistance for the ConventionTeam at on-site locations in the hub room, registration area, and facility setup.
  • Enter and maintain databases of convention information during and after Conventions and Leadership Summits.
  • Provide quality customer service via in-person, phone calls, emails, tickets, and chat.
  • Assist with logistical planning for Conventions and Leadership Summits.
  • Additional duties as assigned.

QUALIFICATIONS:

  • Associates Degree Required; Bachelor’s Degree Preferred
  • Computer skills required: Internet Software; Spreadsheet Software (Excel); Word Processing Software (Word); Electronic Mail Software (Outlook); Presentation software (PowerPoint)
  • Display basic knowledge of standard office equipment (photocopier, fax, computer, multi-line telephone) as well as basic mathematical computations and grammatical composition.
  • Travel is required

JOB TITLE: Merchandising Coordinator

SUMMARY: Primary responsibilities of the Merchandise Coordinator will be online order fulfillment, providing excellent customer service, and travel during the convention season to operate on-site Beta Shop, as well as assisting in all other aspects of the Merchandise Department of The National Beta Club.

DUTIES AND RESPONSIBILITIES:

  • Online order fulfillment
  • Provide customer service by way of email, chat, tickets, phone, and in person
  • Travel to set up and operate the Beta Shop
  • Seasonal October-March and June
  • Maintains a clean driving record
  • Accurately conducts cash and credit card transactions
  • Safely operates a forklift and pallet jack (training will be provided)
  • Maintains neat, clean and organized area of the merchandising department
  • Assist in floor moves, merchandising, display maintenance, and store housekeeping
  • Package and label merchandise for resale
  • Assists in keeping accurate inventory for the Beta Shop
  • Performs other related duties as assigned

 SUPERVISORY RESPONSIBILITIES:

  • This job has no supervisory responsibilities.

QUALIFICATIONS:

  • No prior experience or training.
  • High school diploma or general education degree (GED), or one to three months related experience and/or training, or equivalent combination of education and experience.
  • Certificates, licenses and registrations required: Forklift certification (provided)

JOB TITLE: Website and Graphic Designer

SUMMARY: Create and develop organizational design requests while working on a variety of projects including creation of custom concepts and promotional materials.

DUTIES AND RESPONSIBILITIES:

  • Work directly with marketing department to develop new design concepts, graphics and layouts for website, advertisements, brochures, and other needs
  • Collaborate with marketing, production, membership, convention and merchandise departments to interpret and produce the promotional and marketing needs of the organization
  • Support the design, photography, and videography needs of National Beta events and club opportunities, including social media, email marketing, and website updates
  • Maintain mobile app, wiki, and multiple websites with current and relevant information and graphics
  • Communicate with vendors to ensure designs are accurately produced
  • Proofread to produce accurate and high-quality work
  • Perform other related duties as assigned by management

 SUPERVISORY RESPONSIBILITIES:

  • This job has no supervisory responsibilities.

 QUALIFICATIONS:

  • Bachelor’s Degree (BA) in graphic design or related field with a minimum of 1-3 year’s experience preferred
  • Strong portfolio of print and digital graphics
  • Basic National Beta Club knowledge preferred
  • Other skills required:
  • Proficient in the following Adobe Creative Cloud programs: Acrobat, Illustrator, InDesign, Photoshop, Lightroom
  • Strong understanding of photography techniques, including composition, lighting, exposure, and post-processing. 
  • Proficient in operating diverse types of cameras, lenses, and other equipment.
  • Other skills preferred:
  • Creation of 2D and 3D motion graphics and animations
  • Ability to capture professional video, lighting, and audio, as well as mastery of video editing software such as Final Cut Pro or Adobe After Effects to edit footage, add effects, and enhance visuals 
  • Strong digital drawing and sketching skills using software such as Adobe Illustrator or Procreate to create vector illustrations
